AI that doesreal business work.

You do not need another tool. You need to know where time and money are leaking in the business, and whether AI can honestly help. We find that first, then build it properly — with a human approving anything that matters.

01 · Start with the work

Make AI useful.
Not mysterious.

Caledapt starts with the business problem rather than forcing a model or chatbot into the organisation. Most firms begin with a tool they have heard of, then spend a year finding a use for it.

02 · Find the friction

The opportunity is usually hiding in the workflow.

Repeated admin, bottlenecks, buried knowledge, manual handoffs and high-friction customer interactions become visible as one connected system. Invoicing, quoting, chasing orders, rekeying data between systems: the boring glue is where the hours go.

03 · Govern the system

One operating layer.
Clear human control.

Departments can work independently while leadership keeps visibility over permissions, approvals, knowledge access and accountability. Finance does not need to see the HR knowledge base, and neither needs to wait on one person to approve everything.

04 · Build the whole thing

AI is one component.
The system is the product.

Interface, rules, data, AI, approval and monitoring are assembled together so the outcome is reliable rather than impressive only in a demo. A document assistant that cannot cite its source is worse than no assistant, because people stop trusting it.

05 · Deliver outcomes

Focused outcomes.
No technology laundry list.

Automation, company knowledge, drafting, triage and multi-step workflows are tied to measurable operational problems. The question is not what AI can do. It is what changes on Monday.

06 · Measure & stop

A commercial journey
with a defined stop.

Assess. Pilot. Implement. Improve. Every stage has a deliverable, a decision point and a reason to exist — including the decision to stop. If it does not earn its place, it comes out.

Why this works

Three decisions that
separate a demo from a system.

Most AI projects fail for predictable reasons. These are the three Caledapt treats as non-negotiable, and they are why the work survives contact with a real business.

01

Evidence before automation

We measure the current process before changing it. If a workflow is already efficient, automating it wastes money. Some findings end a project, which is the correct outcome, not a failure of it.

Baseline first
02

A human owns every consequential action

The system prepares and proposes. A named person approves anything that moves money, commits the business, or reaches a customer. That is not a limitation being worked around — it is the point.

Human in the loop
03

It must survive the founder leaving the room

Rules are documented, permissions are explicit, and meaningful actions stay traceable. If the system only works because one person knows how it works, it is not finished.

Auditable by design
Caledapt Agent Gateway

Your customers are
starting with an assistant.

If someone asks ChatGPT, Copilot or Perplexity how to buy from you, they get an answer assembled from whatever your site makes easy to find. If your prices, hours and contact details are invisible to a machine, that answer is vague — or it is a competitor.

Agent Gateway makes your business legible to AI customers and keeps it that way. It measures how far an AI customer can actually get — discover, understand, evaluate, get prices, enquire, quote, book, buy — then holds that position with monitoring.

Sectors

Built for the businesses
that keep Scotland moving.

The mechanics repeat across sectors; the bottlenecks do not. These are the ones Caledapt works in most often.

The part most AI suppliers leave out

Caledapt does not publish invented savings, invented clients or invented case studies. There is no page here claiming a business saved 40 hours a week, because no client has been measured doing that yet.

What exists instead: a free assessment, fixed-price diagnostics with stated scope, and implementation quoted per project. If the honest answer is that a standard product fits better than bespoke work, or that a process does not need automating, that is usually what you will hear.

If you want proof before a conversation, take the free AI Readiness Check. It is useful whether or not you ever speak to us.

Questions

The things people
actually ask.

What does AI implementation actually involve?

It starts by finding where work is repetitive, slow or dependent on someone remembering to do it. Then you build the smallest useful system around that work — with a human approving anything consequential — measure whether it actually helped, and only keep what earned its place. Caledapt does not start with a model or a chatbot.

How much does it cost?

The AI Readiness Check is free and takes about ten minutes in your browser. A structured Operational Automation Assessment is £695. A deeper audit is £1,250 for a half day or £1,995 for a full day, ending in a prioritised 90-day roadmap. Bespoke implementation is quoted per project. Agent Gateway subscriptions start at £19 per month per business.

Is AI safe to use in our business?

It can be, and that is a design question rather than a yes or no. Anything consequential should stop for a human approval, each role should only reach the knowledge it needs, and meaningful actions should stay traceable. Caledapt builds those controls in from the start rather than adding them later. More detail on data safety.

Where should we start?

Start with one process rather than a strategy. Pick something repetitive and low-risk, measure the current version honestly, then automate it. If it does not earn its place, you have lost a week rather than a year. The free AI Readiness Check exists to make that first step concrete.

Do you work with small businesses, or only large organisations?

Small and mid-sized businesses are the main focus. So are UK organisations of any size. The work is usually cheaper and faster than people expect because it starts with one workflow rather than a platform programme.

What do you not do?

Caledapt does not sell AI to businesses that do not have a real problem to solve, does not promise savings it has not measured, and does not build systems that require trusting the vendor forever. If a standard product fits better than bespoke work, that is usually the honest recommendation.

What is the Agent Customer Score?

A 0 to 100 technical measure of how far an AI customer can get with a business online: discover, understand, evaluate, get prices, enquire, request a quote, book and buy. It measures the machine accessibility of a website under methodology ACS-1.0. It is an automated technical assessment and it does not guarantee recommendation by any third-party AI system.

Can our website be found by AI assistants such as ChatGPT?

Partly, and more than most. Caledapt's own business profile is published as a machine-readable file, a plain-language summary is published at /llms.txt, and the site is open to search and retrieval crawlers. That makes the business legible. It does not control or guarantee what any AI vendor chooses to recommend — that decision sits with them.

Your next step

Make one workflow
measurably better.

No invented savings. No invented clients. Find something real, pilot it, measure it, then decide what earns its place.
